Price Lists let administrators define per-page costs for print, copy, and scan operations, broken down by paper format. Assigning a price list to devices lets OptimiDoc calculate and report the financial cost of each job, enabling cost allocation, departmental chargebacks and quota enforcement in monetary terms.

Overview
A price list is a table of per-page prices, defined for each paper format you care about. For every format it records the cost of the paper itself and the cost of a black-and-white, reduced-colour or standard-colour impression, plus a scan price. Once a price list applies to a device, the cost figures shown in All Jobs, Standard Reports and the Activity Log reflect those prices, and monetary Quotas can be enforced against them.
Accessing Price Lists
-
Sign in to the OptimiDoc web interface as an administrator.
-
Open Price Lists from the Reports area of the navigation menu.
The list shows each price list's name — with a star marking the default price list — its A4 black-and-white, A4 colour and A4 scan prices as a quick summary, and a badge for every paper format it defines.
Creating or Editing a Price List
-
Click Create Price List (or edit an existing one from its row menu).
-
Give the price list a Name.
-
Under Prices per Paper Format, set the prices for each format. A new list starts with rows for A4 and A3; add more formats (A0–A10, Letter, Legal, Unknown) with the + buttons, or remove a row you don't need (at least one format must remain).
Each format row carries five prices: paper, black-and-white print, reduced colour, standard colour and scan.
Prices are entered using your locale's decimal separator (for example a comma in Czech or German), and the number of decimal places shown is controlled by the Decimal places setting under Appearance and Skin settings.
Click Save to store the price list.
The Default Price List
One price list is marked as the default (shown with a star). It acts as the fall-back pricing where no more specific price list applies, and it cannot be deleted while it holds that role — assign a different default first if you need to remove it.
Assigning a Price List to Devices
Prices take effect once a price list is applied to the devices that process jobs. On the Managing Devices page you can set a device's price list individually, or select several devices and bulk-assign a price list to all of them at once. Devices without a specific assignment are costed using the default price list.
How Costs Are Calculated
For each completed job, OptimiDoc looks up the price list that applies to the device, then costs the job from its per-format prices — combining the paper cost with the black-and-white, reduced-colour or standard-colour impression price appropriate to each page, and the scan price for scan operations. The resulting cost is stored on the job record and appears throughout the reporting views.
Editing a price list affects future jobs only; the cost already stored against historical jobs is not recalculated.
Tips
-
Keep separate price lists for genuinely different pricing scenarios (for example standard rates versus a high-volume site), and assign them to the relevant devices.
-
Review prices periodically to reflect changes in consumable costs.
-
Standard Reports is the best place to see the financial impact of your pricing — its cost tiles and rankings appear once a price list yields a non-zero cost.
In Summary
A price list turns page counts into money. Define per-format prices, mark one list as the default, and assign lists to devices (individually or in bulk from the Devices page). From then on, job costs flow automatically into reports and monetary quotas. Pair price lists with Billing Codes to see both cost-per-page and cost-per-code.
