The All Jobs report (listed in the web interface as Job Report) gives administrators a filterable, sortable list of every print, copy, and scan job processed by OptimiDoc. Use it to audit activity across the whole organisation, inspect an individual job in detail, reassign or delete jobs, and export the results for external analysis.
Overview
All Jobs is the central place to review job activity recorded by OptimiDoc. Every job that passes through the system — print, copy or scan — is listed here with its owner, date, current state, and (when you open it) full page, cost and processing detail.
This page is intended for administrators. Regular users see the equivalent My Jobs page, which is automatically limited to their own jobs. For interactive usage and cost analytics with charts, see Standard Reports.
Accessing All Jobs
-
Sign in to the OptimiDoc web interface as an administrator.
-
Open Job Report from the Reports area of the navigation menu.
Summary Tiles
Four tiles across the top of the page summarise the currently filtered result set — they update to match your date range, search and status/owner selection rather than showing organisation-wide totals:
-
Total Jobs — number of jobs matching the current filters
-
Total Pages — total pages across those jobs
-
Printed — how many have been printed
-
Waiting — how many are still waiting in the queue
Filtering the Job List
The filter bar sits above the list. Changing any filter refreshes the list and the summary tiles immediately.
|
Filter |
Description |
|---|---|
|
From Date / To Date |
The date range to review. Defaults to the last seven days (today and the previous six days). |
|
Status |
Restrict the list to a single job state. The available states are loaded from the server; leave it on All to include every state. |
|
Owner |
(All Jobs only) Restrict the list to one user, chosen with a type-ahead search. Clear it with the × button. |
|
Search |
Find jobs by document name. |
|
Reset |
Return all filters to their defaults. |
Status Values
|
Status |
Description |
|---|---|
|
All |
Jobs in any state (default). |
|
Waiting |
Submitted but not yet printed or processed — waiting in the queue. |
|
Printed |
Successfully printed at a device. |
|
Processed |
Processed and delivered — for example a scan job sent to its destination. |
|
Deleted |
Removed by the user or automatically (for example, an expired job). |
|
Shared |
Shared with other users. |
The exact set of states offered in the dropdown is provided by the server and can vary with system configuration and the job types in use.
The Job List
Results appear in a sortable, paginated table. In All Jobs the columns are:
|
Column |
Description |
|---|---|
|
# |
The job's numeric identifier. |
|
Document |
The document title. |
|
Owner |
The user the job belongs to. |
|
Received |
When the job was received by the server. |
|
Status |
The job's current state, shown as a coloured badge. |
Click any row (or the view icon) to open the job in the detail view. Administrators also get a row menu (⋯) with Job Detail, and — for jobs that are still editable — Assign to user and Delete.
Inspecting a Job
Opening a job shows a redesigned detail view with everything known about it:
-
A document preview with page-by-page navigation.
-
Basic information — document title, owner, who printed it, machine, queue, server and PDL.
-
Dates — when the job started and finished.
-
Summary and print details — copies, black-and-white and colour pages, cost, and a per-format accounting breakdown (sheets, colour/mono impressions and price).
-
History — a timeline of the states the job passed through.
Previous and Next controls step through the jobs in the current list without closing the view, so you can work through a filtered set quickly.
Assigning a Job to Another User
Administrators can reassign a job — for example when it was captured against the wrong account:
-
Open the row menu (⋯) and choose Assign to user. This is offered only for jobs that are still editable.
-
Search for and select the target user.
-
Click Assign. You cannot assign a job to the user who already owns it, so the button stays disabled until you pick a different user.
Deleting a Job
From the same row menu, administrators can Delete an editable job. A confirmation dialog protects against accidental removal; deletion cannot be undone.
Exporting
The Export button (top-right) downloads every job matching your current filters — date range, search, status and owner are all applied. The file is a CSV streamed row-by-row from the server, so there is no row-count limit and even very large result sets download without truncating or freezing the browser.
Tips
-
Use narrow date ranges for faster results on large systems.
-
Combine filters (for example a specific owner in a specific state) to investigate a particular pattern.
-
Use the Status filter to find problem jobs quickly — for example Waiting for jobs stuck in the queue.
-
Sort by any column heading to reorder the list.
In Summary
All Jobs is the administrator's job ledger: filter to the jobs you care about, watch the summary tiles reflect that selection, open any job for a full preview and processing history, reassign or remove editable jobs, and export the filtered set to CSV. For personal history use My Jobs; for charts and cost analytics use Standard Reports.
