Appearance and Skin

Appearance and Skin allows administrators to customise the visual identity of the OptimiDoc web interface and MFP terminal screens. Configuration options include the brand colour scheme, company logo uploads, login-page customisation, a decimal-places setting for monetary amounts, and a welcome message for the login screen.

Overview

The Appearance and Skin settings let organisations brand OptimiDoc to match their corporate identity. Changes here affect both the web administration interface and the MFP terminal screens that users interact with daily.

Customisable elements include:

  • Colour scheme — light colour, dark colour, text colour, and menu colour.

  • Company logos — custom logo, inverse logo (for dark backgrounds), login logo, and login background.

  • Welcome message — a custom message shown on the login screen.

  • Decimal places — the number of decimal places used when displaying monetary amounts.


Accessing Appearance Settings

  1. Log in to the OptimiDoc web interface as an administrator.

  2. Click Settings in the left sidebar to open System Configuration.

  3. Select the Appearance tab.


Colour Scheme

The colour scheme section provides four configurable colours that control the overall look of the interface:

Each colour can be set with a colour picker or by typing a hex colour code directly. For security, values must be valid hex colours (#RGB or #RRGGBB); an invalid entry falls back to its default.

Applying Colour Changes

  1. Adjust the colours using the colour pickers or hex input fields.

  2. Click Save to apply the changes.

  3. The interface updates to reflect the new colour scheme.

Resetting to Default

Click Reset to Default to restore the original OptimiDoc appearance. A confirmation dialog appears first, warning that the reset covers colours and logos and cannot be undone. Click Confirm to proceed or Cancel to keep your current settings. When confirmed, the four colours, the decimal-places value, and the welcome message return to their defaults, and the custom logos are removed.


Themes and the Custom Colour Scheme

Each user can choose a display theme from the Theme submenu in the user (avatar) menu. The standard options are:

  • Light and Dark — the neutral built-in themes.

  • OptimiDoc and Pink — fixed branded palettes.

  • Custom — applies the four brand colours configured on this page.

The colours you set here define the Custom theme, so to roll out your organisation's palette, configure the colours and ask users to select Custom from the Theme menu. The theme choice is stored per user in the browser, whereas the brand colours configured here are global to the server.


Logo Configuration

The logo section allows uploading custom images (PNG or JPEG) for four different contexts. A preview of the current image is shown beside each upload area:

The background image for the login page.

  1. Locate the logo type you wish to change.

  2. Click the upload area or drag and drop a PNG or JPEG file onto it.

  3. The image is uploaded and applied immediately, and the preview refreshes to show it.

Click Delete below any logo to remove the custom image and revert to the default OptimiDoc logo.


Additional Settings

Setting

Description

Decimal places

The number of decimal places used when displaying monetary amounts in reports and the interface. Range: 0–4. Default: 2.

Welcome message

A custom text message shown on the login screen — useful for company-specific instructions, policies, or greetings. The message is stored as plain text; any HTML markup is stripped for security.


Saving Changes

Click Save to apply the colour scheme, decimal places, and welcome message. Logo changes are applied as soon as the file is uploaded.


Tips

  • Ensure the inverse logo has good contrast against the menu colour for readability.

  • Use high-resolution logos (at least 2× the recommended size) for crisp display on high-DPI screens.

  • Test the welcome message at a device terminal to verify it displays correctly and is not truncated.

  • Use the login background to display a company-branded image or building photograph for a professional login experience.
