Printing

The Printing section covers every aspect of print management in OptimiDoc: the connectors that bring jobs into the system, secure pull print and its job states, driverless printing over IPP, and the quotas and transaction history that keep printing accountable.


Overview

OptimiDoc is a pull print platform. Rather than sending a document straight to a printer, jobs are captured, identified to a user, evaluated against rules and quotas, and then held on the server until the user releases them at any enabled device. This eliminates uncollected printouts, lets people roam between devices, and gives the organisation a single point of control and accounting for all print activity.

Jobs reach OptimiDoc from a wide range of sources -- Windows shared print queues, driverless IPP clients, cloud storage, network folders, WebDAV servers, and email -- yet they all converge on the same workflow.


How Pull Print Works

  1. Capture -- A job enters OptimiDoc through a connector or the driverless IPP server.

  2. Identify -- The job is attributed to a user, either from the capturing spooler, the IPP session, the connector's access rights, or (for email) the sender.

  3. Rules -- The job passes through the rules engine, which can transform it (force duplex or monochrome, add a watermark), redirect it, or block it.

  4. Quota check -- If quotas apply, the estimated cost is reserved against the user's balance.

  5. Hold -- The job waits securely on the server in the user's queue.

  6. Release -- The user authenticates at any OptimiDoc-enabled device (card, PIN, or credentials) and selects the jobs to print.

  7. Account -- The completed job is settled against the quota and logged with full accounting detail (pages, colour, duplex, cost).

Job States

State

Meaning

Waiting

The job is held for its owner and can be released only by that user. This is the normal state for a personal pull print job.

Processing

The job is currently being rendered or sent to a device.

Printed

The job has been released and printed. It is retained briefly for reprint and accounting.

Shared

The job sits in a Shared Queue and can be released by any user who has access to that queue, not only its original owner.


Ways Jobs Enter OptimiDoc

OptimiDoc groups intake methods into a single list of print connectors, plus the driverless IPP server:

  • Shared Queue -- A Windows shared print queue captured by the OptimiDoc spooler. The classic route for Windows workstations printing through a driver.

  • Driverless Print (IPP) -- Clients print straight to OptimiDoc over IPP/IPPS with no driver. Ideal for macOS, Linux, ChromeOS, and mobile. Each named IPP queue carries its own set of advertised print defaults.

  • Browse-on-demand connectors -- Network Folder and cloud services (Google Drive, OneDrive, SharePoint Online, Box, Dropbox, WebDAV, Wasabi). These are not polled in the background; the user browses the storage at the device panel and picks a file to print, and the resulting job is owned by the signed-in user.

  • Mailbox (Print via Email) -- A dedicated mailbox is polled every 30 seconds by the OptimiDoc Service; incoming messages and their attachments become print jobs, attributed to the sender.

Job Retention

Held jobs do not accumulate forever. Two settings on the Print Settings page control retention, each expressed in hours or days:
