Diagnostics

The Diagnostics section gives administrators the tools to monitor system health, investigate issues, safeguard data, and keep the OptimiDoc server running reliably. It spans real-time session tracking, a searchable audit trail, raw server logs, security review, cluster status, GDPR tooling, database maintenance, and encryption management.

Overview

Diagnostics is the administrator's day-to-day toolkit for operating the server. Use Active Users to see who is connected, the Audit Log and System Logs to investigate what happened, Unauthorised Accesses to review security events and onboard cards, Cluster Nodes to check a multi-server deployment, GDPR Compliance to handle data-subject requests, Maintenance to keep the database healthy, and Encryption to manage the keys that protect stored secrets. All Diagnostics pages are administrator-only.

Description

Active Users

Monitor currently authenticated sessions in real time and force-logout users when necessary. Auto-refreshes every 30 seconds.

Audit Log

Searchable trail of system and security events — authentication, spooler decisions, device installs, and user imports — with level, source, device, and user filters.

System Logs

View and search the raw web and service log files with parsed and raw display modes, thread-ID and severity filters, context lines, and ZIP download.

Unauthorised Accesses

Track failed authentication attempts and unrecognised card reads, with options to assign a credential to an existing user or create a new account.

Cluster Nodes

List the server and printing nodes in a clustered deployment, set the master node, and edit or remove nodes.

GDPR Compliance

Look up a user, export their data as JSON, review their print jobs and operations, and anonymise their personal data on request.

Maintenance

Database information, on-demand optimisation, old-job cleanup, and credential repair for routine server upkeep.

Encryption

Check encryption status, rotate data keys, download the disaster-recovery key, re-encrypt stored data, and optionally encrypt files at rest.


Key Capabilities

  • Session monitoring — view all active sessions with IP address, device, and last access, and force-logout individually or in bulk

  • Audit trail — a filterable timeline of authentication, spooler, install, and import events, distinct from the document-level Activity Log in Reports

  • Log analysis — search web and service logs by keyword with configurable context lines, filter by severity and thread ID, and switch between parsed and raw views

  • Security review — identify and act on failed authentication attempts from card readers and the print spooler

  • Cluster status — see every node, promote a master, and manage the node list

  • Data protection — export and anonymise personal data to support GDPR requests

  • Database maintenance — view database size and run optimisation, old-job cleanup, and credential repair on demand

  • Encryption management — manage the AES-256 key hierarchy, disaster recovery, and file encryption


Getting Started

  1. Check Active Users to see who is currently connected to the system.

  2. Use the Audit Log and System Logs when investigating a reported issue — filter the Audit Log by level or source, or search the raw logs directly.

  3. Review Unauthorised Accesses periodically to onboard users whose cards were not yet recognised.

  4. Run Maintenance tasks regularly to keep the database performant, and manage encryption keys and the recovery key from Encryption.
