Reporting and Analytics

OptimiDoc Reporting and Analytics turns every print, scan and copy operation into usable management information. From live job views and a redesigned job-detail inspector through to scheduled management reports and cost allocation by billing code, administrators and end users can track usage, allocate costs and spot optimisation opportunities — all from one interface, and all built to stay fast on databases holding millions of records.


1. All Jobs and My Jobs

The All Jobs view (labelled Job Report in the navigation) is the central record of every job OptimiDoc has processed. My Jobs is the same view scoped to the signed-in user's own activity.

  • Filter by date range, job type (print/scan/copy), status, user, department and device — all using asynchronous search selectors, so the filters stay responsive even with tens of thousands of users or hundreds of devices.

  • Search by document title and sort on any column.

  • Each row shows the document, owner, department, device, page count, colour/monochrome split, cost and status.

  • Summary tiles (total jobs, pages, cost) reflect the active filters rather than the whole database.

  • Selecting a job opens the redesigned job detail inspector, with a document preview, a full state timeline (history of how the job was handled) and next/previous navigation between jobs.


2. The Activity Log

The Activity Log is a chronological history of print, scan and copy operations that is available to every user, not just administrators — giving people transparency over their own activity while still serving as an audit trail for the whole system.

  • Columns include type, device, owner, department, state, pages, colour vs B&W, copies, cost, and the created/finished timestamps.

  • Filter by date range and search by document title.

  • Each entry opens a detail dialog with an Info tab and a History tab showing the operation's state history.


3. Standard Reports

The Reports page generates aggregated analytics for a chosen period and filter set, presented as an on-screen overview with charts and ranked tables:

  • Key metrics — total jobs, total pages, colour vs B&W pages, total cost, paper per job, colour usage and duplex usage.

  • Trends — pages over time and costs over time.

  • Top 10 rankings — highest consumers by cost or by pages, across Users, Departments, Devices, Locations and Billing Codes.

  • Breakdowns by operation type (prints, copies, scans) and by page type.

Duplex pages are accounted separately from simplex pages, so double-sided savings are visible in both the analytics and the exported data.


4. Automatic Reports

Administrators can schedule reports to be generated and emailed automatically:

  • Schedule — monthly, on a chosen day of the month (1–31; choosing 31 safely runs on the last day of shorter months). Reports are generated by the OptimiDoc Service around midday on the scheduled day.

  • Delivery — e-mailed as an Excel (XLSX) attachment to a configured destination address, with a configurable subject, body and report language.

  • Filter — restrict the report to selected users, departments, devices, billing codes or a location, or report on all data.

  • Each scheduled report shows its last and next run and can be triggered immediately with Run Now.


5. Price Lists

Price lists convert raw page counts into monetary values and underpin both reporting and quotas:

  • Prices are defined per paper format (A4, A3, Letter, and so on): a price per sheet of paper, per monochrome impression, per reduced-colour and standard-colour impression, and per scan.

  • Copies are priced with the same impression rates as prints; scanning has its own rate.

  • Assign a price list to each device — individually or in bulk from the device list — so costs reflect the real cost of each machine.


6. Billing Codes

Billing Codes (formerly Projects; the term was renamed in the English interface only) allow costs to be allocated beyond the standard user and department breakdown:

  • Create codes representing clients, cases, campaigns or internal initiatives.

  • Users can be given a default billing code, and the codes available to a user can be scoped to their groups.

  • Billing codes can be imported and exported in bulk, and every report offers a billing-code breakdown and Top-10 ranking.


Export and Performance

Reporting is designed for large datasets:

  • Data can be exported to CSV, XML and HTML, and a pre-built Excel report template (with macros) can be downloaded for richer offline analysis.

  • Exports are streamed row by row rather than being buffered in memory, so even very large result sets download reliably.

  • Statistics and totals are aggregated in the database rather than by loading every row into the application, keeping report generation fast at scale.
