OptimiDoc Device Management and Monitoring provides a centralised inventory of every printer and multifunction device, combined with real-time SNMP monitoring of status and supplies. Administrators get instant visibility of toner, paper and maintenance levels through colour-coded cards, with automated e-mail alerts when thresholds are crossed — and the monitoring view is built to stay responsive across fleets of hundreds of devices.
1. The Device Inventory
Devices are registered centrally, creating a single source of truth for the whole fleet. Each device is added by its hostname or IP address (there is no blind network sweep — you register the devices you manage), and OptimiDoc can then auto-detect the model and serial number over SNMP.
A device record holds:

Name, hostname/IP address, model and serial number

Location and department

Tags and the assigned price list

Its SNMP configuration and secure-connection setting

Its vendor/terminal integration
Once registered, a device is available everywhere else in the platform — pull printing, scan workflows, rules, quotas and reporting all reference the same inventory.
2. SNMP Communication
OptimiDoc monitors devices using SNMP, and SNMP configurations are defined as reusable profiles that can be shared across many devices:

SNMP v1 / v2c — polling with GET/SET community strings.

SNMP v3 — user-based security with a security name, authentication secret and digest hash, and a privacy secret and privacy algorithm, plus an optional context name — for environments that require authenticated, encrypted monitoring.
Each device is assigned an SNMP profile, and a sensible default profile is pre-selected when you add a new device.
3. Real-time Monitoring
The Device Monitoring page shows the live state of every device as colour-coded cards, summarised by tiles for total devices, devices online and devices with warnings:

States include Online, Warning, Critical, Unknown and Offline / Inactive.

Search by name, model, location or IP, and filter by state.

The list is paginated on the server and refreshes on demand, so monitoring stays fast even with large fleets.

Selecting a device opens a detail view with its status, model, location, IP, last-check time, supplies, trays and any active alerts (including how long each alert has been active).
4. Supplies and Trays
OptimiDoc reads consumable levels directly from each device and groups them for quick scanning:

Toner / Ink — level per cartridge, with the lowest cartridge highlighted.

Paper Trays — fill level and the media loaded in each tray.

Maintenance — remaining life of maintenance items such as fusers and belts, where the device reports them.

Other supplies the device exposes.
Levels are shown as percentages, a Low Supplies Alert flags devices that need attention, and OptimiDoc correctly interprets the special/negative values some devices use to mean "unknown" or "OK" rather than showing a misleading reading.
5. Email Notifications
The Notifications page lets you send e-mail alerts when a device changes state or a supply runs low:

State triggers — OK, Warning, Critical and Down.

Supply triggers — Paper, Toner and Cartridge.

Send to one or more recipients with a custom subject and body.

An optional location filter scopes a notification rule to devices in a particular location, so (for example) the facilities team for one building is alerted about that building's devices only.
6. Tags and Organisation
Tags provide a flexible way to organise and act on the fleet:

Devices can carry colour-coded tags (a new tag is given a colour automatically).

Tags can drive quota targets and reporting, and are shown in the device and monitoring lists.

Bulk operations let you set tags and assign a price list to many devices at once.
