Print Management

OptimiDoc Print Management delivers secure pull printing, flexible ways to submit jobs, driverless IPP printing and complete job accounting across your entire fleet. By holding jobs on the server until a user authenticates at a device, OptimiDoc eliminates uncollected prints, keeps confidential documents off output trays, and captures the data needed to allocate every page to the right user, device and cost centre.


1. Secure Pull Printing

Pull printing is the heart of OptimiDoc. When a user prints, the job is held securely on the server rather than being released immediately. The user then walks to any enabled device, authenticates — by card, PIN or login — and releases their jobs.

  • Jobs are held until the user is physically present at a device.

  • Users can release their jobs at any enabled device, not just the one they printed to, so they can move freely between floors and offices.

  • Confidential documents never sit unattended on a tray.

  • Uncollected jobs are cleared after a retention period so they do not accumulate.

Release behaviour can be automated with rules — for example, releasing all of a user's waiting jobs automatically when they log in (see Business Rules Engine).


2. How Jobs Reach OptimiDoc — Print Connectors

Beyond a standard print queue, OptimiDoc can ingest documents from a range of print connectors, so people can print from almost anywhere:

3. Driverless Printing (IPP)

OptimiDoc can accept jobs over the Internet Printing Protocol (IPP), so users on macOS, Linux, Chromebook and mobile can print without installing drivers. In 26.07 this is built around named IPP queue connectors:

  • Each queue is a named connector, published as its own IPP printer with its own attribute set — its advertised capabilities and defaults — so different queues can present different behaviour to clients.

  • Clients simply add the queue's IPP address; the server (and printing nodes) advertise the queue and accept jobs on it.

  • The IPP server runs in a dual-mode configuration and the advertised printer UUID prefix can be configured per installation, so identifiers stay stable and unique across sites.

Internally, IPP printer addresses distinguish direct-to-device printing from connector queues by a numeric offset, which is why device and connector identifiers are kept within a defined range — an implementation detail that keeps a single IPP endpoint able to serve both.


4. Printing Nodes and Cluster Distribution

For multi-site and high-availability deployments, remote sites can run OptimiDoc Printing Nodes (OPN):

  • Each printing node runs its own IPP server, so clients at a remote site print to a local endpoint and jobs are spooled and released locally.

  • Queue configuration is distributed pull-based: a node pulls the current IPP queue attribute sets from whichever cluster server holds the freshest configuration timestamp and applies them to its local IPP server.

  • Synchronisation happens on start-up and whenever a peer saves a change, and a node only advances its own timestamp once every queue has applied successfully — so a node that misses a change simply catches up on its next sync.

5. Job Analysis and Accounting

Every job is analysed so it can be accounted accurately. OptimiDoc uses two analysers:

  • PDL analysis — for PCL and PostScript print streams.

  • PDF analysis — PDF jobs are analysed with Aspose.PDF for accurate results.

From this analysis, each job records its page count, colour vs monochrome pages, duplex vs simplex, and paper size. That data feeds accounting:

  • User, device, pages, colour/mono, duplex and cost are captured per job.

  • Price lists convert pages into monetary cost, reflecting the device used.

  • Jobs can be attributed to billing codes for client or project recharging.

  • Everything is available in Reporting and Analytics and can enforce Quotas.


6. Policy and Cost Control

Administrators shape printing behaviour through rules and quotas:

  • Force duplex or monochrome, add watermarks, redirect or reject jobs, and notify users — all via the Business Rules Engine at the appropriate point in the workflow.

  • Cap spending with hard or soft quotas applied to users, groups, departments, devices or tags.


7. Device Support

OptimiDoc integrates with a broad range of multifunction devices through embedded terminal applications — Konica Minolta and Develop (OpenAPI), Xerox, HP, Lexmark, Epson, Canon, Kyocera, Ricoh and Fiery — and can print to any IPP-compatible printer or MFD.
