The Device Monitoring page provides a near real-time overview of the health and supply status of every multifunction device managed by OptimiDoc Server. Administrators can see at a glance which devices are online, which are running low on supplies and which need immediate attention — all from a single dashboard of colour-coded status cards with detailed drill-down views.
How Device Monitoring Works
OptimiDoc polls each device in the background over SNMP, using the SNMP configuration assigned to that device. From every poll it records whether the device is reachable, reads its supply levels (toner and ink, drums, waste containers, maintenance kits), paper tray levels and any alerts the device reports, and derives a single overall state — OK, Warning, Critical or Inactive.
Polling runs on a schedule — once an hour — from the cluster's master node. The dashboard shows the most recent snapshot gathered for each device, so it loads instantly even for large fleets rather than polling every machine on each visit. When you need current figures between scheduled polls, a manual Refresh re-polls on demand. For accurate readings, make sure each device has a working SNMP configuration (see SNMP Configuration).
Accessing Device Monitoring

Sign in to the OptimiDoc Server administration interface.

In the left sidebar, expand Devices and select Device Monitoring.
Status Summary
A compact summary row at the top of the page shows aggregate counts for each device state:

Low Supplies Alert
Below the summary, an alert card highlights every device with a low supply or tray. It offers two views, toggled at the top-right of the card:
By Device
Lists each affected device with badges for its low supplies and trays and the percentage remaining on each.
By Type
Groups low supplies across the whole fleet by category, which makes it easy to spot patterns and plan a single bulk order:

Toner / Ink — toner, ink and cartridge supplies.

Paper Trays — paper tray fill levels.

Maintenance — maintenance kits and waste containers.

Other — any other consumables the device reports.
Each badge shows the device name and remaining percentage; hover over it to see the full supply name and the exact level remaining.
Filtering and Search

Search — Filter devices by name, model, location or IP address.

State filter — Show only devices in a chosen state: All states, Online, Warning, Critical or Inactive. Each option shows a live count of matching devices.
Both search and filtering are applied on the server, so they remain responsive across thousands of devices.
Device Cards
The main area displays devices as a grid of cards, 24 per page. Each card shows:

Header — status icon, device name and model, and a per-device refresh button.

Info — location (with a pin icon) and IP address.

Supply indicators — colour-coded bars for toner (up to four, e.g. CMYK) and paper trays (blue). Hover over the bars to see exact percentages.

Alerts — a badge with the number of active alerts, coloured red when any are critical.

Footer — the time of the last status check.
Device Detail View
Click any device card to open a detail dialog with the device's status, model, location, IP and last-check time, plus three tabs:
Supplies

Supply name with a colour-coded dot.

A progress bar coloured green (above 20%), yellow (10–20%) or red (below 10%).

Percentage remaining and the current/maximum capacity.
Trays

Tray name and media type (e.g. A4, Letter).

A fill-level progress bar using the same colour coding.

Current sheet count and total capacity.
Alerts

Alert description (e.g. "Cyan toner low", "Paper tray 2 empty").

A severity badge — Critical (red) or Warning (yellow).

How long the alert has been active.
Devices do not always report a numeric level. Following the printer SNMP standard, OptimiDoc recognises special values and shows them clearly rather than as a misleading number: N/A when the level is unknown, and ~ ("some remaining") when the supply is present but its exact level cannot be measured. In these cases no progress bar is drawn.
Refreshing Device Status
Beyond the automatic hourly poll, you can re-poll on demand:

All devices — Click the Refresh button in the page header. The button spins while the refresh is in progress.

Single device — Click the refresh button on a device card or inside the detail dialog to re-poll just that device.
The Last Check timestamp on each card shows when the device was last polled.
Best Practices

Configure Monitor Notifications so low supplies and device outages are emailed to the right people automatically, rather than relying on someone watching this page.

Use the By Type view to spot fleet-wide patterns — if several devices are low on the same toner colour, order in bulk.

Check the Alerts tab periodically for maintenance items that are easy to miss from the card view.

Device Monitoring turns raw SNMP data into an at-a-glance picture of fleet health. The summary row and low-supplies card surface anything that needs attention, the card grid and detail dialog let you drill into a specific machine, and a manual refresh gives you current readings whenever you need them. Pair it with Monitor Notifications to move from watching the dashboard to being told the moment something goes wrong.
